Step 01

Create your account and set up the business

Create an account with your name, email and password, then complete email verification when prompted. The workspace uses your organisation settings for business details, invoice defaults, payment terms and VAT settings.

Prepare invoices that represent your business

Save organisation details, bank instructions, a logo, brand accent colour and select a PDF template. Choose from Classic, Modern or Minimal so your invoices maintain a professional, consistent appearance.

Customer records store practical invoice details such as company name, contact name, email, telephone, address, postcode, VAT number, payment-term overrides and end-user status for Domestic Reverse Charge.

Step 04

Build the invoice and review the calculations

Choose the customer, set issue and due dates, add line descriptions, quantities, prices and VAT rates. Invoice numbers are allocated sequentially, totals are calculated for you, and draft invoices can be edited before sending.

Review the result and send the invoice

Review the invoice before sending. From the invoice page, you can generate a branded PDF, download it, or email the PDF attachment directly to the customer. Successful email sending moves a draft invoice to Sent.

Keep payment progress organised

Invoice statuses include Draft, Sent, Paid, Overdue and Cancelled. Mark eligible invoices as sent, paid or cancelled, see sent and paid dates, and use reminder workflows for due-soon or overdue items.

Common workflow questions

What happens during onboarding?

Onboarding collects the information used by your workspace, including business details, invoice defaults, VAT and CIS settings where relevant, payment information, branding colour, logo and invoice template.

Can I edit a draft invoice?

Yes. Draft invoices can be edited before they are sent, and totals are recalculated when the draft is saved.

Can I download an invoice as a PDF?

Yes. The invoice page includes a private PDF route that generates a branded PDF using your organisation details, payment settings, logo and selected template.

How do VAT and CIS work together?

VAT is calculated as part of the invoice totals. CIS deduction applies to the relevant deductible amount, is shown separately, and the final amount payable reflects the calculation.

Can I mark an invoice as paid?

Yes. Eligible invoices can be marked as paid, which changes the invoice status and records a paid date.
